Event planning and co-ordination

Our team of event planners start by meeting with our prospective clients to make sure that they understand the purpose of the event as well as the budget. At this stage we decide with our client whether they require a full service event planner or whether they only require a ‘Day Of’ co-ordinator.


Typically planning begins six to eight weeks beforehand and includes a timeline that keeps track of vendors that need to be sourced, booked and co-ordinated.


Our professional team are able to source the perfect venue to match your event, the décor to match and will manage your RSVP list by sending either email reminders to guests and follow-ups or calling each guest personally.


On the day of the event the team will make sure that all vendors are briefed and that set-up is completed timeously so that as soon as guests arrive the event can begin. The team then makes sure that the pre-agreed schedule of events is running smoothly and is on hand to sort out any unforeseen delays and get the schedule back on track. At the end of the event the team will co-ordinate the breakdown and ensure that the venue is clear before packing up themselves.


‘Day Of’ Co-ordination

The ‘Day Of” co-ordination package offers all the benefits of the full service events planning and co-ordination package but the ‘Day Of’ co-ordinator manages the vendors you have sourced rather than sourcing from their list of suppliers. This package is a cost-effective alternative for clients who have already done most of the planning themselves and only need assistance to bring everything together for the event.


On the day of the event, the “Day Of” Co-ordinator will make sure that everyone is following the timeline that’s been established, bringing the team of vendors together.  

The team is onsite for either a half-day or a full-day – dependant on what you prefer.


Ultimately, a “Day Of” Coordinator is a priceless asset to have. Even if a venue has a co-ordinator on staff, that person works for the venue and not for you. A “Day Of” Co-ordinator will work with you leading up to the event during the time when things get the most hectic.


Venue sourcing

This service includes finding possible venues and compiling two to three detailed venue proposals on venues available on your preferred date. A site visit to the venue that you most like is arranged and we then assist with booking the venue, handling the payment, and a follow-up three weeks before the event to confirm that all the details of your function match the details made at the time of booking.


Décor, design procurement, set up & breakdown

Our creative team is able to assist with designing your décor to enhance your theme, colour scheme and chosen venue. We then present a table mock-up for the clients’ approval well in advance of the function.


Our team then procures the items that are required, sets them up before the function and breaks down after the function. This includes draping, flower arrangements, table décor, balloon art and party favours.


Day-of schedule

This service provides a schedule for your big day, to ensure that everything runs smoothly and the celebration is enjoyed with no hiccups.


This schedule can be used by anyone, if your budget does not allow for an event co-ordinator.
